An inbox is a queue that everyone works by hand. Most of it is routing, acknowledging, looking something up and answering the same question again. A digital employee takes that layer, prepares what it can, and hands you the few that need a person.
What does a digital employee do in Outlook?
Read, search, sort, draft and send, plus calendar and contacts. The connection covers the mailbox and the calendar together, which matters because most email is really about time.
A typical day: it reads everything overnight, sorts by what the message is actually asking for, answers what is routine, drafts what needs your voice, and books what needs a slot.
You get a shortlist and the drafts. It does not delete and it does not decide what you never see.
Does it read all of my email?
It reads the mailbox you connect, and nothing else.
That is a real decision and you should make it deliberately. Most companies start with a shared mailbox, the one where info@ or orders@ lands, because nobody considers that private and the work there is the most repetitive.
A personal mailbox is possible and is scoped to that person, who can revoke it themselves at any moment.
How does the Outlook connection work?
Through Microsoft 365 with its own scoped credentials, authorised once and revocable in one place.
It is the account itself that holds the permission, not a person's password, so nothing breaks when someone changes theirs and nothing is inherited when someone leaves.
Sending is behind a human gate by default. You can move that gate once you have read a few weeks of its drafts and decided it is right more often than you are.
How is this different from Copilot?
Copilot helps you write the email. A digital employee handles the ones you would rather not write at all.
The difference is who starts. Copilot waits for you to open a message and ask. A digital employee works the queue while you are not there, and its output is a shortlist rather than a paragraph.
They coexist without conflict. One is an assistant at your desk, the other is a colleague with a job.
What does an Outlook integration cost?
The connection is part of the build. A first digital employee starts at 3,000 euro setup and 850 euro per month.
The inbox employee is usually the cheapest place to start, because the work is high volume, low judgement and entirely visible in one system.
